Use the free CRA GST/HST Registry when a Canadian input-tax-credit decision needs official registration status for the transaction date. Add company-record evidence when the workflow must resolve the legal entity, and a commercial API when batches, retries or integration justify the cost. No GST/HST result proves bank-account ownership.
Six GST/HST registry search options at a glance
A GST/HST registry search can answer several different questions, so the shortlist should start with the evidence required. The Canada Revenue Agency service checks whether a supplier was registered on a specified transaction date. A company-data service helps identify the legal entity behind a number. An API or tax platform makes validation easier to run inside onboarding, invoicing or checkout. Those outcomes support one control, but they are not interchangeable.
This is a VATFind-published comparison, not an independent ranking. The CRA service appears first as the official baseline, followed by VATFind and Global Database under the article's stated ordering rules. Capabilities and public prices were reviewed on 11 October 2026. Where documentation does not confirm Canadian fields, source behaviour or contract terms, this guide labels the point for a proof of concept rather than inferring a feature.

What a GST/HST Registry result proves
A standard CRA GST/HST program account has a nine-digit business number, the RT program identifier and a four-digit reference number. The public registry asks for only the first nine digits, plus the supplier's legal, operating or trading name and the date shown on the invoice, receipt or contract. That date input is important: registration status is assessed for the transaction being supported, not merely today.
The CRA describes the registry as a free service for checking whether the business charging GST/HST is registered. After a successful search, its guidance tells purchasers to print the Search Details screen so input tax credit claims include tax charged by registered suppliers. For supplies of $100 or more, the supplier's GST/HST number is among the documentary fields the CRA lists for supporting an input tax credit. Other invoice requirements still apply.
Treat the response language precisely. ‘Insufficient information entered’ means the submitted name, number, date or name order did not match CRA records. ‘Not registered on the transaction date entered’ reports the status for that date. Neither message, by itself, proves that the supplier is fictitious or dishonest. Recheck the invoice data, ask the supplier for the registered name and escalate unresolved cases through the CRA channel documented for businesses.
Four evidence layers for one Canadian supplier
Keep each layer separate so one positive result is not reused for a claim it cannot support.
- 01Format
Normalise the nine-digit BN and separate the RT program account reference.
- 02Official status
Record the CRA outcome for the invoice or contract date.
- 03Company identity
Match the legal name, registry record, address, source and retrieval time.
- 04Approval
Resolve differences and apply separate tax, bank-change and payment controls.

Use the correct Canadian registry
The normal GST/HST Registry is not the only Canadian tax-ID route. The CRA maintains a separate simplified registry for certain non-resident digital-economy businesses. That list covers businesses registered under the simplified rules for cross-border digital products and services or platform-based short-term accommodation. A buyer should not send a normal domestic account to the simplified list, or treat an absence there as a failed normal registration.
Quebec sales tax is also distinct. The CRA directs users to Revenu Québec to confirm a QST number. Revenu Québec documents both an online service and an API that can return registration status, a status description, effective date, business name and commercial name. An unusual nine-digit QST situation involving a selected listed financial institution requires the CRA business enquiry route instead of either public validator.
This routing problem explains why ‘global coverage’ needs careful wording. A service may cover Canadian companies without offering live GST/HST status, or may validate GST/HST but not QST. Ask providers to name the authority, identifier type, result fields, date semantics, cache rules and failure states for every Canadian route you intend to use.
Official status and legal-company identity
The first three options represent the key architectural choice. The CRA service provides the official dated registration result. VATFind adds company-record context without labelling that record as a live CRA decision. Global Database publishes a wider tax-ID and company-intelligence workflow, but buyers should confirm the exact Canadian authority path and returned evidence in a controlled pilot.
Official Canadian service
CRA GST/HST Registry
The Canada Revenue Agency's free registry checks a normal GST/HST account against the supplier name and transaction date. It is an official public service, not a commercial verification company or a general company-search engine.
Strengths. Provides the authoritative registration result for a specified transaction date and directs users to retain the Search Details screen. Its inputs mirror the evidence available on an invoice: first nine digits, business name and transaction date.
Limitations. It is designed for checks tied to a business transaction, not broad supplier discovery, monitoring or unrestricted commercial reproduction. Teams own name matching, retries, evidence storage and exception review; service unavailability must remain distinct from a negative result.
Pricing. Free public service. No subscription, bulk API, commercial service level or managed evidence store is published.
Best for. Official one-off checks and teams able to operate their own dated, auditable CRA workflow.
Company identity, API and bulk data
VATFind
VATFind links supplied tax identifiers and names to available legal-company records, returning identifiers, registered details, status, source context and retrieval time. Canadian availability and fields depend on the underlying company record.
Strengths. Useful when finance or procurement needs to see the company behind a supplier or customer, investigate a name mismatch and retain source-linked registry context. Monthly plans include REST and MCP company checks plus monitoring; high-volume teams can scope custom throughput or scheduled bulk company-data feeds.
Limitations. The current company-record response is not a live CRA GST/HST Registry result by default, so it should complement rather than replace the official dated check. Company identity does not prove ownership of a beneficiary bank account, and a delivery cadence does not mean every registry refreshed that record on the same day.
Pricing. Starter is $99/month for 495 checks, Growth $199 for 1,990 and Scale $499 for 9,980. Monthly billing requires no long-term contract; optional annual prepayment and custom bulk feeds are separate.
Best for. Supplier onboarding, legal-entity matching, source lineage and company-data enrichment around a Canadian tax-ID check.
Tax-ID validation and company intelligence
Global Database
Global Database documents tax-ID checks combined with national company records, timestamps and wider KYB data. Delivery options include REST, batch processing, company monitoring and bulk files.
Strengths. Can bring tax identifiers, legal names, registration data and broader company context into one governed enterprise workflow where the country product supports them. Published documentation covers API, batch, monitoring and evidence-oriented delivery patterns.
Limitations. Global company coverage is not proof of live CRA GST/HST validation. The Canadian source, transaction-date logic, returned fields and outage behaviour should be tested before purchase. The wider company-intelligence scope may be more than a small official-status workflow requires.
Pricing. Contact sales — public pricing not available. Confirm billable events, included volume, overages, file rights, monitoring charges and minimum term.
Best for. Enterprise supplier masters that need company intelligence and country-scoped tax-ID evidence in one process.
VATFind monthly plans
Use the control to compare included company-record checks with monthly price. These allowances do not represent CRA Registry calls. Failed data-source operations do not consume a check, while custom API volume and bulk company-data delivery are quoted separately.

APIs for validation and tax workflows
The remaining providers wrap validation into different operating models. Fonoa exposes Canada in its tax-ID lookup and batch documentation. LookupTax routes Canadian checks to documented official sources and publishes entry-level allowances. Stripe validates supported customer tax IDs inside its billing and tax stack. None should be compared solely by country count: buyers need to test the Canadian response, date handling, evidence and outage states they will actually rely on.
Enterprise tax-ID lookup and batch API
Fonoa
Fonoa Lookup validates tax identifiers through documented government-database routes and supports Canada in its request and batch references. It sits within a broader tax automation platform rather than a Canada-only registry tool.
Strengths. API documentation covers asynchronous batch validation, cache controls and country-specific request fields, including a Canadian transaction date option. Suitable for teams that want tax-ID lookup alongside wider tax calculation, invoicing or compliance capabilities.
Limitations. Public pages do not publish a standalone Canadian verification tariff. Buyers should confirm which CRA route is queried, how name matching works and what evidence is returned. The platform's broad tax scope may add commercial and implementation complexity when the need is only an occasional registry check.
Pricing. Contact sales — public pricing not available. Confirm minimum commitment, verification unit, batch charges, cache policy and overages.
Best for. Enterprise tax teams seeking a multi-country verification layer within a broader automation programme.
Multi-country tax-ID validation API
LookupTax
LookupTax documents Canadian Business Number and GST/HST validation through official-source routing, REST endpoints and a change log that records Canada name-based registry handling.
Strengths. Publishes supported identifiers, source philosophy, API documentation and prices rather than requiring a sales conversation for the first tier. Enterprise adds batch and CSV workflows for teams moving beyond individual calls.
Limitations. The lower published tiers do not include the batch workflow. Confirm Canadian transaction-date support, exact returned evidence and behaviour when the authority is unavailable. A validation response does not automatically provide a complete company-registry, ownership or payment-risk profile.
Pricing. Annual billing: Lite $44/month for 200 validations, Pro $134 for 1,000 and Enterprise $449 for 10,000. Batch tools are documented for Enterprise; confirm renewal and overages.
Best for. Engineering teams that need a published multi-country API price and optional high-volume batch processing.
Billing and tax platform with customer tax-ID validation
Stripe Tax
Stripe supports the Canadian GST/HST tax-ID type in customer and invoicing workflows. For supported identifiers it checks format and can validate asynchronously against the relevant authority, while tax calculation remains a separate Stripe Tax function.
Strengths. Fits naturally when customer tax IDs, invoices, payments and tax calculation already run through Stripe. The API exposes tax-ID status and supports automation without building a separate customer-record interface.
Limitations. Stripe states that the business remains responsible for customer-information accuracy, and a tax ID that reaches valid or invalid is not automatically revalidated later. Published Canadian prices cover the broader Stripe Tax product, not a standalone per-registry-search service or rich Canadian company profile.
Pricing. Tax Basic in Canada starts at CA$0.50 per taxed transaction or API call. Tax Complete starts at CA$120/month with volume tiers and a one-year contract. Confirm what validation usage is included.
Best for. Digital businesses that already use Stripe and want GST/HST tax-ID status inside checkout, billing and tax automation.
LookupTax annual-plan allowances
This control compares the advertised per-month price when billed annually with the corresponding validation allowance. It does not treat free trials as ongoing capacity, and it keeps unconfirmed overages outside the arithmetic. Batch and CSV tools are documented for Enterprise.
LookupTax prices and monthly validation allowances
Displayed monthly rates require annual billing; allowance values remain monthly.

A buyer checklist for GST/HST verification
Build the proof of concept from real Canadian records. Include a normal account with the full RT reference, a legal-name difference, a trading name, a historical transaction date, an invalid format, a date before registration and a simulated source outage. Test the raw response, timestamp, source label, evidence export, retry rules and human-review queue—not just the green result in the interface.
For an illustrative accounts-payable case, a supplier can present a familiar trading name while the CRA file uses a legal name. An insufficient-information response should trigger confirmation of the registered name and date, not automatic rejection. Preserve the attempted query, retry with corrected data, retain the official Search Details output when successful, and compare the legal entity to the supplier master. Keep bank-account-change verification separate.
- Define whether the control needs current status, status on the invoice date, legal identity or all three.
- Confirm normal GST/HST, simplified digital-economy and QST routing separately.
- Demand explicit unavailable, mismatch and not-registered states instead of one false value.
- Record source, retrieval time, submitted fields, raw outcome and reviewer decision.
- Compare monthly commitment, included calls, overages, batch limits, retention and exit rights.
- Ask how cached results expire and whether monitoring reruns the authority check or only company data.
Failure modes to design out
The most common design error is collapsing multiple meanings into one boolean. A syntactically correct number can fail the CRA name-and-date match. An authority can be unavailable. A valid GST/HST account can belong to a different legal company than the supplier record. Each state needs its own code, next action and audit trail.
The second error is losing time context. A lookup run today does not answer whether the supplier was registered on last quarter's invoice date unless the service actually submits and evaluates that date. The third is scope drift: a platform that calculates Canadian tax may not return company identity, while a company-data record may not prove active GST/HST registration. Write acceptance tests against claims, not feature labels.
Finally, avoid silent automation. Rate limits, source downtime, spelling differences and newly registered accounts will create exceptions. Set retry windows, cap automatic attempts, preserve the original evidence and route unresolved cases to a named owner. PRACTICAL ANSWERS
Frequently asked questions
What is the GST/HST Registry?
It is a free Canada Revenue Agency service that checks whether a business was registered for normal GST/HST on a specified transaction date. It is not a general company-search engine or a commercial provider.
What information do I need for a GST/HST registry search?
The normal CRA service asks for the first nine digits of the GST/HST account, the supplier's legal, operating or trading name, and the transaction date from the invoice, receipt or contract.
Is a GST/HST registry number the same as a business number?
The nine-digit business number identifies the business. A full GST/HST program account adds the RT program identifier and a four-digit reference, such as 123456789 RT 0001. The public normal registry asks for the first nine digits.
Does a valid GST/HST result prove the supplier owns its bank account?
No. It supports a dated tax-registration claim. Legal-company identity and beneficiary-bank ownership are separate controls that require their own evidence and approvals.
What does ‘insufficient information entered’ mean?
The submitted business name, order of the name, account number or transaction date did not match CRA records. Recheck the source document and confirm the exact registered name with the supplier before escalating.
What does ‘not registered on the transaction date’ mean?
It means the CRA record did not show the supplier as registered on the date entered. Check the name, number and date. The message alone does not prove fraud or that the business does not exist.
Can I use the normal registry for simplified digital-economy registrations?
No. The CRA maintains a separate simplified GST/HST registry for qualifying non-resident digital-economy businesses. Route normal and simplified accounts to the correct service.
Can the CRA GST/HST Registry validate a QST number?
Generally no. The CRA directs users to Revenu Québec for QST validation. A special selected-listed-financial-institution case requires the CRA business enquiry route.
Which service is best for API or bulk GST/HST checks?
It depends on the required evidence. Fonoa and LookupTax document multi-country API or batch models; Stripe fits its own billing stack; VATFind supports company-record APIs and bulk data rather than live CRA status by default. Test the Canadian route and result semantics.
How should I compare GST/HST verification pricing?
Compare the exact billable event, monthly allowance, overage, minimum term, batch access, source failures, evidence retention and monitoring frequency. Do not compare a full tax platform's transaction price with a standalone registry check as though they buy the same outcome.
